The Hidden Costs of Podcasting (And How We Save You Thousands)
Most podcasters don’t realize how much the little things add up. Between hosting, software, and subscriptions, the "invisible" costs of running a professional show can easily hit $200+/month—before you even factor in your time.
At Pod21, our shared infrastructure works for everyone, saving all of our clients both money and hassle.
🛠️ Here's the tools we use across our clients (so you don't have to buy them)Podcast Hosting Plan
📌 Cost if DIY: ~$15/month (e.g. Podbean, Castod, Podhome)
🔸 Why you need it: Podcast hosting is probably the one inescapable cost of podcasting. The podcast host is where your feed and your episodes are hosted. No pod feed, no podcast! "But wait can't I just self host my podcast?" In theory - yes. In practice - no. If you want 100% uptime and reliability, you need a host.
🔹 What we do: We host your show on enterprise-grade plans which allow multiple podcasts to be hosted under the same account. (Don't worry, if you ever want to self-host your podcast, we can help you with that. ensuring zero downtime and unlimited storage.)
Scheduling App(s)
📌 Cost if DIY: ~$10/month (e.g. Calendly, SavvyCal, Rallly)
🔸 Why you need it: If you've ever tried planning episodes by sending emails back-and-forth, you will very quickly realise it is unsustainable. To really optimise scheduling (and especially if you're ever recording across timezones and/or with multiple participants), you'll need a dedicated tool for scheduling.
🔹 What we do: Our team handles guest coordination for all our clients from one account. No more subscriptions!
Verified X (Twitter) for Outreach
📌 Cost if DIY: ~$10/month (X Premium)
🔸 Why you need it: No blue check? No messaging guests outside your existing network. Sorry, we don't make the rules (Elon does!) Oh, and even if you are X verified, many people will ignore messages from non-professional looking accounts. We handle all guest outreach from one account (so you can cancel that blue check!)
🔹 What we do: We use our verified account to book guests. No more DMs disappearing into the abyss!
Recording Software
📌 Cost if DIY: ~$25/month (Riverside, SquadCast)
🔸 Why you need it: We are huge advocates of Riverside, which is in our view head and shoulders above the competition when it comes to podcast recording for both audio and video. Amateur setups ruin audio/video quality - and lost recordings can’t be recreated, so this is not a place to skimp out!
🔹 What we do: Our clients get access to our pro Riverside package. Multi-track recording, 4K video, and backup cloud storage - all included.
Licensed Music
📌 Cost if DIY: ~$23/month (Epidemic Sound, Artlist)
🔸 Why you need it: Music is a huge part of content creation. It sets the tone, gives the show a recognised theme, and it allows for seamless flow between sections. Before you Google "free music for podcasts", just... don't. Free music isn't going to cut it in the competitive world of podcasting. You need a quality library.
🔹 What we do: We add our clients' channels to our enterprise grade Epidemic Sound account - the largest music and sound effects catalog of its kind. Adios, lame musical jingles (and copyright headaches!)
Creative Software Suite
📌 Cost if DIY: ~$60/month (Adobe Creative Cloud, DaVinci)
🔸 Why you need it: Podcasting isn’t just about audio anymore. To stand out, you need: professional-grade visuals (thumbnails, branding, social assets), seamless editing & mastering (removing distractions while keeping it natural), engaging video clips (vertical/short-form cuts for Instagram, TikTok, YouTube) and broadcast-ready sound (no amateur compression or uneven levels).
🔹 What we do: We use our full-spectrum creative software across projects, shows and clients. Allowing us to handle editing, mastering, animations, highlight clips, and custom artwork all from one pro package.
Strategic AI Tools (Used Sparingly, Where It Counts)
📌 Cost if DIY: ~$20/month (ChatGPT, Claude)
🔹 What we do: We use AI for:
Transcriptions (accessibility + SEO)
Timecoding (editing efficiency)
Project management (automating repetitive tasks)
Unlike many other podcast production teams, we use AI Tools sparingly - supporting, not replacing, human creativity.
Project Management Systems (The Secret Sauce)
📌 Cost if DIY: ~$30/month (Asana, ClickUp, Trello, Notion)
🔹 What we do: Our templated workflows ensure:
No missed deadlines
Consistent quality control
Seamless collaboration
